Maximum availability
By booking your event in winter offers you maximum availability with a venue before they start getting booked up. If you’re planning an event for the summer months, you’ll need to act quickly as these dates are the first to go! The same can be said if you’re looking for a Saturday as this day is the most popular with venues; especially for private events and weddings.
As venue calendars will be relatively free in January and February, it means you’ll have the pick of your chosen venues rather than having to settle for whoever has your chosen date free. By booking early, it also allows you a little flexibility with set up and tear down timings, as venues will have a clear diary so you can have your say in what works best for your event and teams.

Incentives
It may be a quiet time of year in terms of business, but venues still need to be making bookings and converting enquiries for the year ahead, therefore by booking your event in winter can potentially mean you’ll be offered an incentive to book. This could be anything from upgrades, complimentary add-ons or even price reductions. Venues will be wanting to get good base business in on the books, therefore they are more inclined to offer something to you to get the deal done. Be mindful though, depending on when your event is taking place, long lead bookings will highly likely be excluded from any promotional incentives, as there is still plenty of time for a venue to fill their diary.
Ease of planning
As we’ve previously mentioned, winter tends to be a quieter month for venues in terms of actual events onsite, therefore their events teams can often make themselves more disposable to you and any questions that you may have. This is reflected in quicker responses and offers a more collaborative way of working rather than rushing the details a week before you’re due to arrive onsite.
With less events onsite, it also means that venues have more availability to show you round. You’ll be able to gain access more quickly to the spaces that you’d like to see and view multiple function rooms all in one visit rather than having to wait a couple of weeks for them to be available to view.
Sets the foundations
By booking your event in early means that you can then turn your focus onto the other suppliers that you need; décor, entertainment, catering etc. Once the event date is set, it will be so much easier to book in your suppliers, or if they happen to be booked already, found alternatives as you’ve given yourself plenty of time to prepare.
With your timeline naturally falling into place, stress and any last minute changes will be heavily reduced. This is because you have time to properly prepare and plan for your event and should anything need to change, you’ll have enough notice to sort it.
